Features

Everything around the takeoff, none of the switching.

Five modules that each work alone and share the same plan sets and imports. Start with one.

Plan sets

A plan set you can search and ask questions of

Upload a PDF set from desktop or phone, up to 500 MB. Each page becomes a sheet you can zoom smoothly, on a 27-inch monitor or a phone.

Free, with limits · unlimited on Pro

Sheets that name themselves

  • Sheet numbers, names and discipline read from the title block.
  • Scales read too: architectural (1/4" = 1'-0") and ratio (1:100).
  • Every suggestion shows the text and spot it came from. Nothing is saved until you accept it.
  • Scanned sheets are read with OCR and marked as OCR, so you know where text came from.
  • Two-point calibration when a scale is missing, typed as 12'-6" or 3.8 m.

Find it, ask it, count it

  • Full-text search across every sheet. Jump straight to the hit.
  • Plan Chat answers questions about the set and cites the sheet. Click the citation and the sheet opens at that spot.
  • Symbol find: box one symbol, find matches across the sheet or set, keep the ones you accept, export the count.
  • Sheet index and counts export as CSV.

BidMates sub-bid leveling

Bid packages, sub responses and leveling in one place

Built on the takeoff you already did. Subs answer on bidmates.app with no account.

Team

Import

  • XLSX, CSV or paste from PlanSwift, STACK, On-Screen Takeoff, Bluebeam Quantity Link, Sage or Excel.
  • The tool is detected from the headers, and your column map is saved per tool.
  • Every quantity carries a unit. A column without one is flagged, never guessed.

Invite and level

  • Packages per MasterFormat division, with attached sheets, documents and a due date.
  • Email invites, automatic reminders, and resend or revoke a link any time.
  • Coverage per package: invited, opened, bid, declined, plus a chase list.
  • A comparison grid with unit conversion shown, missing-scope flags, spread, notes, and a winner or plug.
  • Awards export in your tool's own layout.

Sharing and review

Review a set with people who don't use EstiMates

Send a link to a set or one sheet. It opens in any browser, phone first, with no account.

View links on Free · comments and markup on Pro · embeds on Team

Links you control

  • View-only or comment links, for a whole set or a single sheet.
  • Optional expiry and password. Revoke a link, or regenerate it so the old one stops working.
  • Embed a read-only viewer in your own site or client portal, limited to the sites you allow.

Comments, markup, activity

  • Drop a pin on the sheet and start a thread. @mention your team. Resolve when it's settled.
  • Guests comment with just a name and email.
  • Pen, arrow, box, text, and a ruler that measures from the sheet's scale. No scale, no length, never a guess.
  • @mentions email right away. Everything else arrives in one daily digest you can turn off.
  • An activity log per project and sheet: views, comments, markups and link opens.

Proposals and e-sign

From estimate export to signed proposal

Your takeoff tool stops at Excel. This picks up there.

Team

Build

  • Import any estimate export with the same saved column maps.
  • Show a lump sum, totals by division, or full line detail.
  • Your logo and company details, plus cover letter, scope, exclusions, alternates, terms and an expiry date.

Send and sign

  • A web link and a PDF. The client reads it on any device and asks questions in a thread.
  • Accept and sign with a typed or drawn signature.
  • An audit trail on every signature: consent, time, IP address and a fingerprint of the signed PDF.
  • Change orders against the accepted proposal.

Punch & Closeout

From signed bid to signed-off job

The drawings, your awarded subs and the signed contract are already in EstiMates, so the punch list takes no setup and closeout ties back to the contract.

Team · subs, owners and architects never pay

Walk the job

  • Tap the drawing to drop a numbered pin (PI-001), or add an item with just a room or area.
  • Photos straight from the phone camera, shrunk before upload, with location data removed.
  • No signal? Items and photos are saved on the phone and upload when you're back online. Take the sheets you need offline first.
  • Pick the responsible sub for each item, with a due date and priority. Suggestions come from the sheet and your awarded subs; nothing is assigned on its own.
  • The owner or architect can add items on their own walk link. Those land with you to sort, never straight to a sub.

Subs fix, you verify

  • Each sub sees only their items on their BidMates link, on the drawings with photos. No account, no app.
  • They mark an item fixed with an after photo, or say it isn't theirs and why.
  • Before and after photos side by side: close the item, or send it back with a reason.
  • Daily reminders for overdue items, and punch list exports as PDF (by company or by sheet) or CSV.

Tie it to the contract

  • Link an item to a line of the signed contract, including lines added by change orders.
  • Set a holdback per item and see the value of open punch by contract line.
  • Extra work? Turn the item into a change order draft, with its photos.

Close out and hand over

  • Request warranties, lien waivers, O&M manuals, as-builts and test reports from subs. They upload from their phone; you accept or send back each one.
  • Issue our own certificate of substantial or final completion against the signed contract. The owner signs it on any device, with an audit trail on the PDF.
  • One handover link for the owner: contract, change orders, certificates, as-built drawings, warranties and manuals, with a download-everything ZIP.
