For subs: your BidMates link

You got a link from a general contractor. Here's how to bid, and later how to handle punch items and closeout documents.

  • You · the contractor

Process flow

  1. 1You

The GC sends you a link

    By email, from BidMates.

  2. 2Sub

    Open it on any device

    No account, no app.

  3. 3Sub

    Send your price

Or decline. Edit until the due date.

  4. 4Sub

    Fix punch items

Mark fixed with an after photo.

  5. 5Sub

    From your phone.

Send a bid

  1. Open the link from the email. You'll see the scope, quantities, notes and attached drawings.
  2. Under “Your price”, enter a lump sum, unit prices in your own units, or both. Mark lines as “Not included in my price” where needed.
  3. Add “Inclusions”, “Exclusions”, “Lead time” and any “Notes or questions”.
  4. Attach your paper quote with “Take a photo”, or “Choose files”. Then click “Send bid”.
  5. You can change it with “Update bid” until the due date, or use “Withdraw bid”.

Other subs never see your numbers.

Not bidding this one?

  1. Click “Decline to bid”, add a reason if you like, and click “Decline”.

Punch items

Near the end of the job, the GC may send your punch items on a separate private link.

  1. Open the link. “To fix” lists your items; “Show on drawing” shows where each one is.
  2. Fixed it? Click “Mark fixed”, add an after photo (required) and an optional note.
  3. Not yours? Click “Not ours”, say why, and click “Send back”.
  4. If the GC sends an item back, you get an email with the reason and it returns to “To fix”.

Closeout documents

  1. Under “Documents requested”, find what's marked “To upload”: for example warranties, lien waivers or O&M manuals.
  2. Click “Upload” and choose the file or take a photo. If the GC asks you to “Upload again”, you'll see why.
